The Crosby IVR system provides a secure solution for the automatic processing of credit card and
debit card transactions by telephone. Our voice response computers conduct fully automated
conversations with callers.
The system can handle both credit and debit cards, and can be set to make regular credit card
charges. It can work independently, or be fully integrated with an existing payment or accounting
system.

How it works

Our system accepts a call from a customer wanting to make a payment to your company.

When prompted, the caller enters his unique reference (this can be an invoice number or account
number) using his telephone keypad.

The caller is asked to specify the amount he wishes to pay. (If required, this may be checked
against a database of expected payments.)

When prompted, the caller enters his debit or credit card details.

The caller is asked to confirm the transaction.
The system can be used in conjunction with online shops. The caller chooses products in the usual
way, and the checkout process directs him to the automated system. Alternatively, the caller can
initiate the process by entering a product code obtained online.
Card Authorisation
Crosby's IVR systems can be configured to check credit card numbers against various
"Hot Card" lists to eliminate the fraudulent use of invalid cards. Authorisation codes
can be obtained automatically during a transaction to reassure the payee that the payment is
guaranteed and confirm to the payer that there were sufficient funds available to complete the
transaction, via a direct link to the caller's bank.
Security
Crosby IVR uses banking–standards encryption each stage of every transaction. The credit card
subsystem provides a complete audit trail, which is securely backed up and can be exported to other
payment systems.
Statistics and Management
The Crosby IVR Reporting Package can generate various reports, showing daily totals and
transactions by value, type and time. "Hot card" payment attempts and failed
authorisations can also be included in reports. Audit trail reports are produced daily,
and all card payment information is recorded. All reports include telephone line utilisation
information.

Transcription
If required, the system can be set up to record clients' input and store details of transactions
digitally. Recordings can be replayed to enable the information to be transcribed into a manual
database. Electronic forms can be used to synchronise data capture with the replayed speech,
and to minimise errors, postcode and electoral role data can be used to confirm name and address
details. This information can be posted on our secure website or emailed to you on a
per–transaction basis.
If needed, we can also have options built into the application that allow the caller to be
transferred to a live operator at either our end or yours. The caller simply presses a number on
their phone keypad be connected to an operator, if they are having difficulty using the system or
if their card is rejected.
Payments
Please note that we DO NOT pay you any money. We use the existing merchant account you have with
your bank. It works just like having a credit card machine at our end. We act as an operator
inputting these details on each transaction. All this is done automatically by leased line
connections with the relevant banks.
Any monies owed will be paid by your own bank and any fees will be charged to you by your own bank.
